Setting up better event space inquiries conversations

When it comes to event space inquiries, the first conversation now starts on firm ground. Customers have read the same guide, and the line between initial inquiry and sensitive paperwork is clearly drawn.

Existing conditions

What the venue had before

On a plan, what is already there is drawn dashed and what is new is drawn solid. This is the dashed part: how community center hire venue handled it before the work started.

  1. The starting point

Preparation guidance for event space inquiries went out one email at a time from the community center hire venue. Staff kept rewording the same aging template.

  2. Where it went wrong

With event space inquiries, first meetings opened with expectation repair. Some attendees had over-prepared, others not at all, and the difference consumed the conversation's useful minutes.

New work

What we built

A plain-language preparation page now explains event date, guest count and room preference and introduces room capacities and the weather contingency plan. Public forms request only initial inquiry details; any later exchange of sensitive records follows the business's approved process.
