Case study, sheet 07 of 20

Clear ownership for event space inquiries

With event space inquiries, ownership, status and backup are visible at a glance.

Existing conditions

What the venue had before

On a plan, what is already there is drawn dashed and what is new is drawn solid. This is the dashed part: how city center conference venue handled it before the work started.

  1. The starting point

All event space inquiries mail arrived in one shared box watched by several people between other tasks. Responsibility attached to whoever felt guilty first.

  2. Where it went wrong

When it comes to event space inquiries, two people sometimes answered the same message while another inquiry sat untouched. Covering a colleague's day off meant reading entire threads just to learn their status.

New work

What we built

Requests now arrive with event date, guest count and room preference, an assigned owner and a straightforward status marker. Absences are covered by a nominated backup rather than by guesswork.

Client note
The messages about event space inquiries always arrived. What was missing was a name next to each one. Now there is one.
