Case study, sheet 01 of 20

A clearer first reply for event space inquiries

When it comes to event space inquiries, replies now start from substance rather than from questions.

Existing conditions

What the venue had before

On a plan, what is already there is drawn dashed and what is new is drawn solid. This is the dashed part: how hotel function and events suite handled it before the work started.

  1. The starting point

The hotel function and events suite handled event space inquiries through a single email-only page. Each message started a fresh guessing game about what the sender actually needed.

  2. Where it went wrong

With event space inquiries, half of each response was spent assembling the basics. The actual answer waited on the sender replying to the follow-up.

New work

What we built

The replacement form gathers event date, guest count and room preference before anything is sent. Notifications arrive in a consistent layout, flag the type of inquiry and spell out that the next step is an availability discussion with the venue team.

Client note
When a message about event space inquiries comes in, I can see straight away what the person needs. It is a simple fix, but we managed without it for years.
