A night-time route for event space inquiries

When it comes to event space inquiries, the team starts the day with organized requests, while visitors understand that a human response is still pending.

Existing conditions

What the venue had before

On a plan, what is already there is drawn dashed and what is new is drawn solid. This is the dashed part: how woodland ceremony venue handled it before the work started.

  1. The starting point

The event space inquiries page worked nine to five. Interest arriving at eight in the evening met a silent office and a bare form.

  2. Where it went wrong

With event space inquiries, overnight inquiries were long on enthusiasm and short on usable detail. The first hour of each day went on assembling the queue rather than working it.

New work

What we built

The out-of-hours route now records event date, guest count and room preference, states normal response times and explains the path to an availability discussion with the venue team. Automated acknowledgments are labeled as automated.

The event space inquiries route after hours sets fair expectations. People leave the details we need and know when to expect us.
