Keeping event space inquiries follow-ups out of the new-inquiry queue

When it comes to event space inquiries, the streams sort themselves. Follow-ups join their threads, and new business gets the full attention of the full form.

Existing conditions

What the venue had before

On a plan, what is already there is drawn dashed and what is new is drawn solid. This is the dashed part: how coastal ceremony and reception venue handled it before the work started.

  1. The starting point

The site gave one form to everyone: first-time visitors and customers mid-conversation about event space inquiries alike.

  2. Where it went wrong

With event space inquiries, returning contacts re-entered information the team already held. Staff then matched submissions to earlier conversations before they could answer the actual question.

New work

What we built

The follow-up route is brief by design: a reference if available, then the question. New requests continue to collect event date, guest count and room preference separately, and staff can tell the streams apart at a glance.

Client note
Our existing event space inquiries contacts know who they are. The site finally knows it too, and treats them accordingly.
